Overview
West 10 Fire, a specialist fire protection service provider based in Dorset, approached Varciti with a key operational challenge: their extinguisher servicing process relied entirely on manual paperwork, which was time-consuming, error-prone, and inefficient. Engineers had to download and print paperwork a day in advance, complete it manually during on-site servicing, and then return to the office to input and send certifications. This introduced significant delays, created room for reporting errors, and risked inconsistent record keeping.
The client required a secure, digital solution to manage extinguisher assets more efficiently, streamline certification, and reduce the time spent per site visit—without compromising accuracy or compliance.
Project Objectives
The primary goals were to:
- Eliminate paper-based reporting and documentation
- Introduce a digital asset register for all extinguishers and associated equipment
- Enable on-site certification generation and distribution via email
- Improve data accuracy and reduce administrative overhead
- Ensure ease of use for technicians in the field
Our Solution
Varciti developed a fully integrated, cloud-based solution using Microsoft 365 technologies, tailored specifically to West 10 Fire’s operational workflow.
1. Digital Asset Register
- Created a centralised, digital inventory of all fire safety assets per client location
- Each extinguisher could be tracked by type, serial number, last service date, and location within the premises
- Included a user-friendly search and update function, accessible on mobile devices
2. Service & Certification App
- Built a custom application using Microsoft Power Apps to log servicing activities on-site
- Engineers could record the condition, servicing actions, and compliance status of each extinguisher in real-time
- Once completed, the app generated a PDF certification document, automatically emailed to the client and archived for future reference
3. Mobile-First, Offline-Capable Access
- Designed to work on tablets and smartphones, with offline capabilities for sites with poor signal
- Data syncs automatically once connectivity is restored, ensuring no lost records
