BSP Capital, a Nottingham-based financial services firm, approached us to modernise their email and productivity systems. Their existing setup relied on a legacy POP3 email service, which posed limitations in terms of reliability, security, and scalability. In addition, the company wanted to ensure that all users were properly licensed for Microsoft Office applications across the organisation.
With growing data demands and an increasing focus on compliance, BSP Capital recognised the need for a modern, cloud-based solution that would support efficient operations and align with regulatory best practices.
Challenges
BSP Capital's existing email infrastructure lacked modern collaboration features such as shared calendars, cloud storage integration, and mobile sync. Additionally, using POP3 meant emails were downloaded locally, making data recovery and device management challenging. The firm needed a future-proof solution that could support hybrid or remote work environments and simplify IT management.
Our Solution
To meet BSP Capital's requirements, we deployed a full Office 365 solution tailored to their business needs. The project included:
1. Office 365 Deployment
We provisioned Microsoft 365 Business Standard licenses for all users, which provided access to Exchange Online, Outlook, Teams, SharePoint, OneDrive, and the full suite of Microsoft Office apps across all devices.
2. Email Migration
A full migration plan was developed and executed to move all email data from the legacy POP3 system to Exchange Online. We ensured data integrity throughout the migration process, transferring inboxes, folders, and contacts without disruption.
3. Configuration & Support
All user devices were configured for Office 365, with Outlook profiles updated and mobile sync enabled. We provided support and training to ensure a smooth transition and helped users make the most of new features like shared calendars and cloud-based storage.
4. Licensing Audit & Compliance
We reviewed all existing Office software usage and ensured that all users were licensed correctly and consistently under Microsoft’s terms, providing a clear and auditable software compliance position.
